Human Resources Assistant
The Human Resources Assistant, Community Corrections performs varied and moderately complex clerical functions and related general office duties that require independent judgment in the use of work methods and procedures in the areas of human resources and payroll administration. Provides support in the areas of employee benefits and services, employee relations, compliance, safety and health, wage and salary administration, performance management, and employment which includes recruiting, selection, and orientation.
The incumbent should be able to perform all of the following functions at a pace and level of performance consistent with the job performance requirements.
Reviews and processes human resources and payroll documents. Verifies that required forms are accurate and complete for processing.
Maintains personnel and medical files in compliance with policy and procedures.
Processes personnel and payroll documents through regular use of software applications, i.e. Kronos, ATS, and JDE, including, but not limited to, promotions, demotions, transfers, and salary changes.
Assists in the implementation and administration of human resources policies, procedures, and programs. Responds to staff inquiries or requests regarding HR programs or refers to appropriate staff member or FSC for further assistance as needed.
Assists with the implementation, and maintenance of an on-going recruiting program for staffing needs.
Assists with coordinating employment interviews, pre-employment screening, including background checks and employment verifications, and new hire orientation process.
Reviews and maintains various logs or reports for accuracy and compliance i.e. new hire/term, job posting, staffing/vacancy, FMLA, Affirmative Action, Workers Compensation, disability accommodation, and religious accommodation.
Inputs text accurately and produces finished documents efficiently using word processing and spreadsheet programs; copies, compiles and distributes as necessary.
Creates and maintains files in an organized manner, to include sorting, labeling, filing and retrieving, in accordance with company and facility file retention and storage procedures; maintains confidentiality and security of records.
Communicates effectively with staff, residents and visitors; responds to verbal/written inquiries and requests or refers to appropriate staff member; answers telephone, routes calls and/or takes accurate and legible messages.
Domestic U.S. travel may be required.
High School diploma, GED certification or equivalent is required. Two years of experience in full-time clerical or administrative office work is required, preferably in human resources administration. Additional qualifying education at an accredited college, business school or technical institute in office administration or a related field may be substituted for the required experience on a year-for-year basis up to one year. Experience in Microsoft Office applications or other similar software applications is required. Knowledge of JD Edwards and Kronos is strongly preferred. A valid driver's license is required.
